Privacy Policy

This policy explains how 3MB MyClubs handles information when you use ClubUp, including account, community, device-permission, and support data.

1. Who we are

ClubUp is a campus community app operated by 3MB MyClubs (“ClubUp,” “we,” “us,” or “our”). ClubUp helps eligible community members discover clubs and events, maintain a campus profile, and interact with community content.

ClubUp is a student community product and is not an official Koç University service. This policy applies to the ClubUp mobile app, this support website, and support or privacy communications with us.

2. Information we handle

Account and verification information

We process your university email address, full name, account identifier, authentication credentials, and temporary verification or password-reset information. Passwords are handled by our authentication provider and are not shown to other ClubUp users.

Profile and academic information

You may provide a profile photo, biography, major, academic year, interests, additional majors or minors, and club roles. Some profile fields are visible to other ClubUp users as part of the community experience.

Community content and activity

Depending on how you use ClubUp, we process:

  • Posts, event details, images, comments, and other content you submit.
  • Club and user follows, post likes, saved or hidden content, and poll votes.
  • Event RSVPs, check-ins, reminders, and calendar-sync preferences.
  • Post views and similar engagement records used to operate counts and recommendations.
  • Reports, support messages, and account or privacy requests.

Device and service information

ClubUp stores selected preferences and offline app state on your device. When the app communicates with our service providers, they may receive standard technical request information such as IP address, timestamps, app or device details, and security logs needed to deliver and protect the service.

3. How we use information

We use information to:

  • Create, verify, authenticate, and maintain your ClubUp account.
  • Display your profile and community contributions as you direct.
  • Provide clubs, feeds, events, comments, follows, polls, RSVPs, and check-ins.
  • Personalize recommendations using interests and in-app activity.
  • Schedule optional reminders and sync selected ClubUp events to your device calendar.
  • Moderate content, investigate reports, prevent abuse, and protect users and the service.
  • Respond to support, privacy, and account-deletion requests.
  • Maintain reliability, diagnose errors, and comply with legal obligations.

Depending on your location and the activity, processing may be based on your request to use ClubUp, consent for optional features, our legitimate interests in operating and securing the service, or legal obligations.

4. Optional device permissions

Camera and photos

ClubUp requests camera or photo-library access only when you choose to take or select an image for a profile, club, post, or event. Images you choose to publish may be uploaded and visible to the intended ClubUp audience.

Calendar

Calendar permission lets ClubUp create, update, or remove ClubUp event entries on your device. ClubUp does not upload the contents of your personal calendars to our servers. The app may inspect its own calendar entries to keep them synchronized.

Notifications

Notification permission lets ClubUp show alerts and schedule local event reminders. You can change camera, photo, calendar, and notification access at any time in your device settings; declining an optional permission only limits the feature that needs it.

5. When information is shared

We share or make information available only as needed:

  • With other users and club administrators. Profile fields, posts, comments, event participation, follows, or other community activity may be visible according to the feature and its audience.
  • With service providers. ClubUp uses Supabase for services including authentication, database, storage, and server functions. This GitHub Pages website is hosted by GitHub. These providers process data to supply infrastructure and security services to us.
  • For safety and legal reasons. We may preserve or disclose information when reasonably necessary to respond to lawful requests, enforce rules, investigate abuse, or protect rights, safety, and security.
  • During an organizational change. If responsibility for ClubUp changes, relevant information may transfer subject to this policy and applicable law.

Providers may process information in countries where they operate. Where required, we use legally recognized safeguards for cross-border transfers.

6. Retention and deletion

We retain account and profile information while your account is active and retain community content and activity for as long as needed to provide the relevant feature. Support and security records may be kept for a reasonable period to resolve requests, prevent abuse, and meet legal obligations.

Local preferences remain on your device until they are cleared by the app, your device settings, or uninstalling the app. Deleted server data may remain temporarily in restricted backups or logs until those systems rotate, unless longer retention is required for legal or security reasons.

You can request permanent account and associated-data deletion using our Account Deletion page. We verify deletion requests to protect accounts from unauthorized removal.

7. Security

We use reasonable administrative and technical measures designed to protect personal data, including authenticated access, encrypted network connections, access controls, and managed infrastructure. No system is completely secure, so we cannot guarantee absolute security.

Never send ClubUp support your password or one-time verification code. If you believe your account or data is at risk, contact us promptly.

8. Your choices and rights

You can update many profile fields in ClubUp, control optional permissions in your device settings, remove content where the app provides that option, and request account deletion.

Subject to applicable law—including Türkiye’s Personal Data Protection Law No. 6698 (KVKK), and the GDPR where applicable—you may have rights to ask whether we process your data; obtain information or access; correct inaccurate data; request deletion or restriction; object to certain processing; receive portable data; or lodge a complaint with a competent authority.

To exercise a right, contact us using the registered email for your ClubUp account. We may request limited information to verify identity and protect against unauthorized requests.

9. Children

ClubUp is designed for a university community and is not directed to children under 13. If you believe a child has provided personal data contrary to applicable requirements, contact us so we can investigate and take appropriate action.

10. Changes to this policy

We may update this policy when ClubUp’s features, providers, or legal obligations change. We will publish the revised policy here with a new “Last updated” date and, when appropriate, provide additional notice in the app.
